Formatting tips for your Thesis or Dissertation

Format Word Document

Margins around the text on a page must be 1-1/4 inch. Page numbers, which will be set as Headers and Footers, are set 1 inch from the top or bottom of the page. To set margins, select File> Page Setup, from the Main Menu bar. The Page Setup dialog box appears with several tabs across the top. Selct Margins from the tabs. In each of the four boxes -- Top, Bottom, Left, Right -- highlight the number and type in 1.3. The orientation should be set to Portrait. Apply to: Whole Document.


Select the Paper tab. Settings are: Paper Size: Letter; Width: 8.5; Height: 11. The Paper Source should be set for your printer's paper tray. Apply to: Whole Document.

The Layout tab will be set when it is time to number the pages.

Naming Your Document

The name of the document must be one word. Separate words may be joined by a hyphen (-) or an underscore ( _ ). Blank spaces in your document title will present problems in the conversion process.

Organization of Document

The thesis/dissertation typically includes the following parts arranged in the order below:

  1. Approval sheet (Mandatory)
  2. Copyright page
  3. Title page (Mandatory)
  4. Acknowledgment page
  5. Table of Contents
  6. List of tables/figures/abbreviations/symbols
  7. Abstract (Mandatory)
  8. Body of thesis/dissertation (chapters)
  9. Reference material or Bibliography
  10. Appendices
  11. Vita

Section and Page Breaks

To create a new page in a Word document, simply hit CTRL+Enter at the same time. This will create a break and move the cursor to the next page in the document. Alternatively, select Insert> Break> Page Break. Do not use spaces to force a page break.

To create a new page and a section break, use the Insert> Break> Section Breaks - Next Page. This will create a new page, allowing this section to be formatted differently from other sections, if needed. For example, margins can be different within these sections. It will be necessary to divide the document into sections for page numbering. This can be done when the text is completed if different formatting is not necessary for any reason other than page numbering.

Page numbers

Page numbers should be added after the document is created and in its final form.

The following pages are neither counted nor numbered: the Approval (or Signature) Sheet, the Copyright Page and the Cover Sheet preceding the appendices. The Title Page is counted but not numbered. Pages on which any text, figure, table, or drawing appears are counted and numbered.

Page numbers (expect on the first page of chapters) are placed without punctuation in the upper right hand corner, 1 inch (25mm) from the top edge and 1-1/4 inch (32mm) from the right margin. The first page of chapters are numbered 1 inch from the bottom edge, centered. The preliminary pages are numbered consecutively in lower case Roman numerals placed in the upper right-hand corner. The first page to be numbered is the first page following the title page (generally the Acknowledgement page or the Table of Contents). The text and reference pages are numbered consecutively in Arabic numerals, beginning with 1 on the first page of the text.

First divide the paper into sections. Sections are created by positioning the cursor at the page break point and clicking on Insert> Break> Next Page from the Main Menu bar. Sections are divided as follows:

Approval Sheet /optional Copyright Page/Title Page
Acknowledgements Page / Table of Contents / List of Tables / List of Figures
Abstract
Each Chapter is its own section
Literature Cited / Appendix / Vita

Position the cursor at the end of the last line of the Title Page (the date line) and insert a Section Break (this is a "hard page break"). Pages within each section should have a hard page break. Do not use spaces to force a page break. A hard page break should be made between the Approval Sheet, the optional Copyright Page and the Title Page.

To add page numbers, position the cursor on the optional Acknowledgements Page (or the Table of Contents if no Acknowledgements Page has been included) since that is the first numbered page. From the Main Menu bar, select View> Header and Footer. A floating format bar will appear with buttons to help you.

Click on the Format Page Numbers (icon: hand holding paper with # on it). A dialog box appears. In Number format, select lower case Roman numerals. Click on Start at: and click the up button to see lower case roman number ii. Click OK.


Position the cursor in the header of the Acknowledgements Page or the first page of your work. Click on the Right Margin Alignment icon in the main menu. The cursor will move to the right margin set during formatting Page Setup. Click on Insert Page Number (icon: paper with # ) and the page number should appear. Subsequent pages in the section should have sequential numbers.

The Abstract begins a new section and page numbers are formatted differently. On the first page of the Abstract, the page number is centered one inch from the bottom. Subsequent pages of the Abstract will have the page number in the upper right corner, as in the previous section.

Formatting the Abstract is the same as formatting the text's Chapter Sections with one difference: the Abstract has sequential Roman numerals while the Chapters have sequential Arabic numerals. Here's how to do it:

Position the cursor in the Footer of the Abstract page. Select Page Setup (open book icon) and a dialog box appears with the Layout tab selected. Section start should be set to New Page. In the Headers and Footers box, click on Different first page. In the Header and Footer boxes, type in 1. Vertical alignment is set to Top. Apply to: This section. Click OK. (Note: sections do not appear as an option on the Page Setup until sections have been created within the document.)


Select the Page Number Format icon or choose Insert> Page Numbers. Be sure the number format is still lower case Roman numerals. Check the box Continue from previous section. The next consecutive number should appear. Be sure a Section Break is inserted after the last line of the Abstract.

The next section is the Text Body. Page Setup is the same as with the Abstract. In Page Number Format, select Arabic numerals for the number format. Select Start at: and be sure the number 1 appears in the box.


Each chapter section begins with the page number centered at the bottom. In Page Number Format for subsequent sections, select Continue from previous section for consecutive page numbers.

The last section begins with Literature Cited. It is numbered like the chapters with the page number appearing at the bottom of the separator page. The rest of the document, including the citations, any Appendices, and the Vita have page numbers appearing in the upper right corner.

Dot Leaders

To create sharp lists, such as table of contents, list of tables, etc., use formatting for correct alignment and dot leaders.

This is an example:

Introduction ................ 1
Body .......................... 3
References ................ 18

Dot Leaders will fill the space between the end of a word in the left column and the number in the right column. Do not use periods, dashes, or spaces to fill this space. Type the items in your list, hit the tab key and type the page number. Do this for the entire list. Then go back and highlight, or select, the list. Choose Format> Tabs from the pull-down menu bar. Select Alignment Right. Set Tab stop position: with the number on the document ruler where you want the number to align. Select Option 2 for a dot leader, then click OK. The dot leaders will appear.
